Coffee Catering Cost in Raleigh: 2026 Pricing Guide
What a coffee cart costs for a Raleigh event, what the price includes, what costs extra and how to bring a quote down if it lands over budget.
Quick answer
Coffee catering at Arbour is priced as one flat quote, not per cup or per person. Three things set the number: how many guests you expect, how many hours you want us pouring and how far we travel. The quote covers your baristas, unlimited drinks, beans and syrups, equipment, insurance, setup, breakdown and sales tax. Gratuity and card processing are not included and are added at checkout, and branding add-ons are optional extras.
Here is how pricing works for our espresso cart and canned latte service in Raleigh: what sets the price, what every booking includes, what costs extra and how to bring a quote down.
How Much Does Coffee Catering Cost in Raleigh?
There's no fixed rate card. Every event gets its own flat quote, built from your guest count, the hours you want service and where the event is. A small office morning and a large reception need different staffing and setup, so one price list wouldn't be accurate for either.
The quickest way to see your number is our instant quote. Enter your date, service time, guest count and location, and your price is generated right away, with sales tax already included.
Working from a per person budget? Divide your quote by your guest count to get the cost per guest.
| Factor | How it affects the price |
|---|---|
| Guest count | The main driver of price. It also sets how many baristas we staff. |
| Hours of service | A longer service window costs more than a shorter one. |
| Travel distance | Events further from Raleigh quote higher. |
| Extra barista or second cart | Added only when a large crowd or short window needs it. |
| Canned lattes instead of the cart | Often the lower cost option. |
| Branding add-ons | Optional. Logo cups, cart decal, latte printer and printed menus cost extra. |
Quotes include sales tax. Gratuity and card processing are not included.
What Goes Into a Coffee Catering Quote
There is no list of packages to pick from. Every quote is built from three inputs, plus extra staffing when an event needs it.
Number of guests
Guest count is the main driver of price, and it's what we use to staff your event. If your number moves after you get a quote, say from 50 down to 25 or from 100 up to 150, reply to the quote email and we'll send an updated total.
Hours of service
This is how long you want us pouring. A shorter window costs less than a longer one, so it's worth thinking about when your guests actually want coffee, like arrival, a break or dessert.
Travel distance
We cater all over Raleigh and the rest of the Triangle, including Durham, Chapel Hill, Cary, Apex and Wake Forest, and we also travel to Charlotte, Greensboro, Wilmington, Charleston and Myrtle Beach. The longer the drive, the more it adds to your quote.
Staffing and number of carts
Large crowds and short windows sometimes need another barista or a second cart so the line keeps moving. We plan that from your guest count and timing, so you don't have to work it out yourself.
What Every Package Includes
Everything below comes with every booking. None of it is an upgrade.
- Professional baristas for the length of your service
- Unlimited drinks for your guests
- Our espresso blend of washed Ethiopian and Colombian coffees, plus housemade syrups
- All equipment and supplies
- Insurance coverage, with a certificate of insurance for your venue if needed
- Setup and breakdown
The menu covers lattes, cappuccinos, cortados and americanos, plus Earl Grey tea and hot chocolate for guests who skip coffee. Lattes and americanos can be hot or iced. Whole and oat milk come standard, and our housemade syrups are vanilla bean, honey cinnamon and dark mocha. Chai and ceremonial-grade matcha can be added. In October and November we pour pumpkin spice, and December brings gingerbread. The full list is on our menu page.
What Costs Extra
A few things cost extra.
- Gratuity. It isn't included, and all of it goes to the baristas working your event.
- Card processing. If you pay by card, the processing fee is added at checkout.
- Branding add-ons. Custom cups with your logo, a decal that wraps the cart, a latte printer that puts your logo or a message on the foam, and custom printed menus are all optional.
Sales tax is already built into your quote, so it won't show up as a surprise later. You can see the full breakdown of inclusions and add-ons on our pricing page.
Espresso Cart or Canned Lattes: Which Costs Less?
If the budget is tight, canned latte service is often the lower cost option. It's a different experience, so it helps to know what you're trading.
The espresso cart is our signature service. Baristas make every drink to order, guests choose from the full menu, and the cart becomes part of the event. Canned lattes are 8 oz lattes made with our espresso and house recipes, sealed and delivered chilled. As standard it's a drop-off, so you hand them out on your own schedule, and we can often add serving staff as an add-on.
| Espresso cart | Canned lattes | |
|---|---|---|
| Drinks | Made to order from the full menu | A curated set of canned flavors, seasonal ones included |
| Staffing | Professional baristas on site | Drop-off as standard, serving staff can often be added |
| Space and power | Room for the cart and one standard 120V outlet | Very little, good for venues short on space or power |
| Best for | Weddings, office mornings, client events, launches | Conferences, large crowds, short breaks, drop-offs |
| Branding | Logo cups, cart decal, latte printer | Custom branded cans |
| Cost | Set by guests, hours and travel | Often the lower cost option |
Some events use both. The cart handles the main crowd, and canned lattes cover a rush between sessions.
How to Bring Your Quote Down
Our pricing comes from guest count, service hours and staffing, so those are the levers that move it.
- Shorten the service window. Match it to when people actually want coffee, like arrival or a mid-morning break, instead of the whole event.
- Use a realistic guest count. Quote for the people you expect to show up, then update us if it changes.
- Switch to canned lattes, or use them for part of the event.
- Pick one branding add-on, like logo cups, instead of several.
If your quote is over budget, tell us the number you're working with. We'll walk through the line items together and help you find the version that fits.
Planning a Corporate Event?
Office mornings, conferences and client events come with their own details, like vendor paperwork, power and timing. Our corporate coffee catering page covers how we work with Raleigh teams, from vendor paperwork to power and setup timing.
How Booking Works
- Get an instant quote. Enter your date, service time, guest count and location, and your quote is generated right away.
- Book from your quote page. A 50% deposit holds your date. Until it's paid, the date stays open to other clients.
- We check in before the event to confirm details. Reach out any time with changes, and we'll update your booking if we can accommodate them.
- On the day, we arrive early, set up, pour and pack down.
Popular weekends and fall dates fill quickly, so it's worth getting a quote early, even if your details aren't final.
