We don't charge per person. We look at your guest count, how long you want us pouring and where the event is, then send one flat quote that covers unlimited drinks. A single line item tends to be much easier to get approved internally than a per person estimate that shifts with every RSVP.

A 50% deposit holds your date, and sales tax is already included in the price.

How to Work Out a Per Guest Budget

If your budget is set per head, or finance wants a per person figure, the math is simple.

Cost per guest = your flat quote divided by the number of guests you expect.

A few things make that number more accurate:

  • Use the headcount you expect, not the invite list. If it changes, reply to your quote email and we'll update the quote.
  • Price the windows people want coffee. If demand is mostly at arrival and breaks, quote those times instead of the full day.
  • Add gratuity if your company tips vendors. It isn't in the quote, and it goes straight to the baristas.
  • Add card processing if you're paying by card. It's added at checkout.

A short list, like a few espresso drinks, one non-coffee option and a seasonal special, is easier to order from when people only have a few minutes between sessions. How many drinks we can pour per hour depends on the menu and the number of baristas, so tell us your guest count and break times and we'll staff the event to avoid long lines.

The Logistics Checklist for Planners

These are the details we confirm on every corporate booking. Sorting them out early keeps the morning calm.

  • Power. One standard 120V wall outlet per cart. We bring our own extension cord, so it doesn't need to be right at the setup spot. More than one cart usually needs separate circuits.
  • Space. A corner of the lobby, a break room or the area outside a conference room all work, as long as there's room for a short line that doesn't block a hallway or exit.
  • Building access. Give your front desk or office manager a heads-up so the barista isn't left waiting in the lobby.
  • More than one spot. If guests are spread across floors or buildings, mention it in your quote request so we can plan carts and staffing around it.
